About the User: this project was commissioned by a client
who provides IT managed services to large corporate businesses.
Having relatively recently won considerable investment and expanded through acquisition
of similar businesses, before further extension of their company they decided to get
their IT systems in order first. Having looked at the solutions available, they decided
to retain ConnectWise and QuoteWerks, and implement ServiceNow and SAP for downstream processes.
Project Brief: in the absence of an existing integration between
QuoteWerks and ServiceNow, and following a recommendation from their QuoteWerks reseller,
the client approached us as proven skilled and conscientious QuoteWerks integration developers.
The client wanted to use QuoteWerks for just the quoting function of the business and use
ServiceNow (and SAP) for maintaining Products, Customers, Customer Product Pricing and
Sales / Purchase Order Processing. The summary brief
for the project therefore was to read Product and Customer information from ServiceNow and
write Sales Orders back.
Features:
- Reading Product, Category and Customer details from ServiceNow on a scheduled basis to update a QuoteWerks native Product Data Source. (We developed a synchronisation process which would update a QuoteWerks native Product database from ServiceNow so that QuoteWerks Users could continue using the familiar QuoteWerks’ out-of-the-box features for Product selection.)
- Reading Customer Product Pricing from ServiceNow on User request.
- Writing a Sales Order to ServiceNow on request from a QuoteWerks Tools menu option.
- Writing multiple Sales Orders to ServiceNow via an automated scheduled hourly process.
- A comprehensive set of Configuration options to allow field mappings to be modified, etc.
Benefits:
- A considerable amount of time saved using an automated synchronisation process to update Product information as compared to manually exporting and importing.
- Quick, easy and accurate retrieval of up-to-date Customer Pricing information from ServiceNow.
- Time saved and accuracy improved creating Sales Orders as opposed to manually copy/pasting or exporting/importing between the two systems.
- Once configured, due to the simplicity of the User triggered processes, it is very easy to train users on the features.
- Additional functions which work seamlessly with QuoteWerks’ and ServiceNow’s out-of-the-box features.
